1. Does the new pricing model apply to all companies?

The new pricing model will apply to all supply chain companies and non-carrier users, such as adjusting firms, managed repair networks, estimate writers, contractors, and adjusters that operate independently of a property insurance carrier in the United States and Canada.


2. What are the most significant changes in the new pricing model ?

Here’s what’s new:

Seat License Fees - Two seat license types:

  • Each license type comes with different user access, and each organization will need to acquire the right quantities of each type of user license to best fit their team structure and workflow. See the detailed capabilities below.

Transaction Pricing – There are now two separate transaction-based charges:
Per
Claim Creation and Assignment Fee $15 charged to the company that creates and assigns the claim to another company or external user.
Assignment Accepted Fees
$15 charged to the company that accepts the assignment from another company, even if no estimate is created. This is a single acceptance fee, and companies/users will not incur any additional fees for sub-assignments.

Bundled Transactions

  • Once an assignment acceptance fee is paid for Workspace, no additional transaction fees will apply for the same assignment in Mitigate™, Restoration Dispatch™, or Validate Disposition™.

3. How do I know what type of license to purchase for myself or individuals within my organization?

License types should vary based on the requirements of the users role and responsibilities. Users requiring full ability to create, edit, and access estimates will need an Estimate license. Users needing to only view, audit, and access reporting can utilize a Workspace license.


4. Who can purchase and assign seat licenses?

Individual users can purchase seat licenses, or a company can designate a Company Admin (multiple Admins are allowed) who purchases and assigns licenses to users within an organization. Only Admins can access the new Seat License Manager—a new feature within Claims Workspace that allows purchasing and assigning licenses.


5. Does a Company Admin need a license themselves?

  • A new claim is created; then assigned to another company
  • The receiving company accepts the assignment.

Not necessarily. Admins can hold either a Workspace or Estimate License, or they can operate without a license if they only need access to the Seat License Manager; however if they do not have a license, they will not have access to claims, estimates, or other platform features.


6. Can additional seat licenses be purchased or cancelled in the middle of the month (between billing periods)?

Yes. Company Admins can purchase or cancel seat licenses at any time, not just at the start of a billing cycle. Cancelled licenses will be charged for the full month unless the license remains unassigned at the time of cancellation.


7. Can users share login credentials?

Each user must have their own seat license to log in to Workspace, Estimate, or any of the premium features within those solutions.


8. Who and when is a company charged for Claim Creation and Assignment Fees?

A Claim Creation and Assignment fee is a transactional fee charged to the company that originates the claim ONLY when ALL of the criteria below are met.

  • A new claim is created; then assigned to another company
  • The receiving company accepts the assignment.

This ensures the originating company covers the cost of initiating collaboration.


9. Who and when is a company charged for an assignment accepted?

An Assignment Accepted fee is charged to the company that accepts the assignment when:

  • They receive an assignment from another company and;
  • Accept the assignment.

Even if no estimate is subsequently created, accepting the assignment triggers this fee to the acceptor.


10. Can multiple Assignment Accepted fees apply to the same claim?

Yes, if multiple assignments are created and assigned within the same claim, each accepted assignment will be billed individually.


11. When will these new pricing model updates take effect?

The Seat License Manager will go live on October 1, 2025, allowing you to purchase and assign licenses. By November 1, 2025, all users must have a valid seat license assigned to maintain access to Workspace™ and Estimate™. Your first bill reflecting the new seat license and transaction fees will be issued on December 1, 2025.


12. Will all companies have the same pricing terms?

The new pricing model applies to companies using our standard published pricing.


13. Will my pricing change if I have a custom contract with Cotality?

We will continue to honor existing contracts, but our team will reach out to discuss the advantages of amending the existing contract to the new pricing model. Contract renewals shall include the updated pricing structure.


14. If I use other Cotality software, will I be billed for the same assignment in each product?

Cotality fees are bundled to reduce costs to our users, meaning that when a company pays an ‘Assignment Accepted’ fee in Workspace, that company will not incur any additional (Expert System) fees related to that same claim within:

  • Mitigate
  • Restoration Dispatch
  • Validate Disposition

15. What does the new billing cycle look like?

Billing will occur monthly, on the first day of each month, covering seat license fees and any applicable transaction charges from the prior month to the card on file.
